Your central view of every uploaded file
The Media Library grid is where you find, preview, copy, and delete any file on your site. Every image, video, PDF, or document your team has ever uploaded lives here in one place. Think of it as a searchable catalog — you come here to audit what exists, grab a file URL to paste somewhere, or tidy up assets you no longer need.
What is this for?
The Media Library grid is the starting point for any task that involves an already-uploaded file. Use it to check what images are live on your site, to find the URL of an image you want to share with a developer, to search for a specific logo version, or to delete files that are no longer referenced anywhere. It is a read-and-act surface — you browse here, then take action from here.
Good use cases
Example 1: Rebranding audit — find and replace the old logo. Before a rebrand goes live, your designer asks you to confirm which logo files are in use. Open the Media Library, type "logo" in the search bar, and switch to List view for a compact inventory. The list shows filename, upload date, and file size — everything you need to decide which versions to keep and which to delete. You can copy any file's URL with one click to share with the design team.
After you find the right file, click the Copy icon on its card to grab the full URL — then paste it wherever it's needed.
Example 2: SEO check — locate oversized hero images. Your site's largest pages are loading slowly. Open the Media Library, switch to Sort: File Size, and scan the top results. Large originals (anything over 1 MB) are the usual culprits. Select each one to preview its dimensions — images over 2048 px wide were automatically resized on upload, but the originals are still stored. You can delete the original once you've confirmed the right version is live on the page.
Example 3: Sharing a PDF download link with a customer. A support rep asks where the latest product spec sheet is hosted so they can share a direct download link. Open the Media Library, type "spec" in search, and filter to PDFs. The matching file appears — click the Copy icon to copy its public URL. Anyone with that URL can open or download the file directly in their browser, with no login required.
What NOT to use this for
- Not a DAM (Digital Asset Management) system — there are no folders, albums, or tagging systems. If you manage hundreds of brand assets across multiple campaigns, a purpose-built DAM (Brandfolder, Bynder) is a better fit. Media Library is for page-referenced assets only.
- Not a private file store — every file in the library is publicly accessible via its URL. Anyone who guesses or finds the URL can download it. Never upload contracts, financial statements, customer data, or passwords here.
- Not a cross-site library — the library is scoped to a single SGEN site. Files here are not shared with your other SGEN sites.
- Not a place for SVG — the upload server rejects
.svgfiles. Convert to PNG before uploading.
How this connects to other features
- Pages and SG-Builder — when you place an image on a page in SG-Builder, the media picker opens this same library to let you choose a file. Deleting a file here immediately breaks any page that references it.
- Blog posts — cover images on blog posts are chosen from the Media Library. Deleting a cover image file leaves the post with a broken image.
- Appearance / Header — your site's header logo is an image you upload here first, then reference in the Header config.
- Ecommerce products — product images are stored in this library. Removing a product image here removes it from the product page.
Before you start
- You are signed in to SGEN as an admin.
- To use the per-card Copy feature effectively, have a text editor or destination page open so you can paste immediately.
Where to go
- Open the left navigation.
- Select Media Library → All Media Files.
Steps
1. Orient yourself in the grid
The library opens in Grid view by default. Each card shows a thumbnail, filename, and file type. The toolbar at the top provides view controls, filters, and the Upload button.
2. Switch views
Click List in the toolbar to see a table layout with file size and upload date visible at a glance. Click Grid to return to the card view. Both views expose the same per-item actions.
3. Filter and sort
Use the Type dropdown to narrow to Images, Videos, PDFs, Docs, or Text files. Use the Sort dropdown to order by Most Recent, Name A–Z, or File Size. Use the Search box to find files by name.
4. Act on a file
Hover any card to reveal four icons:
- Preview — opens a lightbox showing the full-size image or file.
- Edit — opens the metadata drawer to view file details and description.
- Copy — copies the file's public URL to your clipboard.
- Delete — removes the file permanently (see the Delete article for important caveats).
What success looks like
You can see all uploaded files in the grid, filter them by type, and copy a file's URL to your clipboard in two clicks. Switching between Grid and List view updates the layout immediately with no page reload.
What to do if it does not work
- Grid is empty but you know files were uploaded — check the Type and Sort filters. If the Type filter is set to anything other than "All", files of other types are hidden. Clear the filter to see everything.
- Search returns no results — the search matches on filename only, not on file description or alt text. Use part of the exact filename if possible.
- Clicking Copy does nothing — some browsers block clipboard access without a user gesture on the first interaction. Click directly on the Copy icon (not the card) and try again.
